VeeCee ("we", "our", or "us") operates a digital contact card platform that helps businesses and individuals share professional contact information with their teams and networks. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service at veecee.me. Please read this policy carefully. If you disagree with its terms, please discontinue use of our platform.
1. Information We Collect
Account and Profile Information
When you create a VeeCee account, we collect information necessary to provide our service. This includes your name, business email address, company name, and a password. Account administrators may also provide billing contact details and branding assets such as a company logo used to customize your team's contact cards.
Contact Card Data
VeeCee generates virtual contact cards (VCF files) on behalf of your team members. To do this, we store the professional contact information you configure for each team member, which may include names, job titles, phone numbers, email addresses, physical addresses, profile photos, and any other fields you choose to include. This data is either entered manually or synchronized from a connected CRM system.
CRM Integration Data
If you connect VeeCee to a third-party CRM such as HubSpot or Salesforce, we receive contact record data from that system according to the field mappings you configure. We only retrieve the specific fields you authorize and use this data solely to populate your team's virtual contact cards. We do not store your CRM credentials directly; instead, we use OAuth tokens or API keys that you provide, which are stored encrypted at rest.
CSV Uploads
If you choose to import contact data via CSV file upload, we process and store the contents of those files to generate contact cards. You are responsible for ensuring that any personal data included in CSV uploads was collected lawfully and that you have appropriate authority to share it with us for processing.
Usage and Technical Data
We automatically collect certain technical data when you interact with our platform. This includes IP addresses, browser type and version, operating system, referring URLs, pages visited within the dashboard, and timestamps of activity. We also collect data about how often contact card URLs are accessed and from which geographic regions, which helps us provide analytics to account administrators.
Billing Information
VeeCee uses Stripe to process all payments. When you subscribe to a paid plan, your payment card details are entered directly into Stripe's secure payment interface and are never transmitted to or stored on VeeCee servers. We receive from Stripe a tokenized reference to your payment method, your Stripe customer ID, and transaction records such as invoice amounts and payment dates. These are used to manage your subscription and billing history.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Service delivery. To create and host virtual contact cards, generate QR codes, create digital wallet passes (Apple Wallet and Google Wallet), synchronize data from connected CRM systems, and provide your team with unique shareable URLs and email signatures.
- Account management. To authenticate users, manage team memberships and roles, and enforce subscription limits and permissions.
- Billing and subscriptions. To process payments through Stripe, manage subscription plans (free, starter, professional, and enterprise tiers), handle upgrades and downgrades, and send invoices and payment receipts.
- Communications. To send transactional emails such as account verification, magic link login, and billing notifications. We may also send product updates and announcements, from which you can opt out at any time.
- Analytics and improvement. To understand how our platform is used, identify bugs, improve existing features, and develop new functionality. Usage data is analyzed in aggregate where possible.
- Security and fraud prevention. To detect and investigate suspicious activity, enforce our Terms of Service, and protect the integrity of our platform and its users.
- Legal compliance. To comply with applicable laws, respond to lawful requests from public authorities, and meet our contractual obligations.
3. Information Sharing
We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We share information only in the following circumstances:
- Service providers. We share data with trusted third-party vendors who help us operate VeeCee. This includes Google Cloud Platform, which provides our core infrastructure including compute, storage, and database services (Firestore); Stripe for payment processing; and Mailgun for email delivery. These vendors are contractually obligated to protect your data and may only use it to provide services on our behalf.
- CRM platforms. When you authorize a connection to HubSpot, Salesforce, or another CRM, we exchange data with that platform according to the permissions you grant. Your use of those platforms is governed by their own privacy policies.
- Contact card recipients. Virtual contact cards are accessible to anyone with the link or QR code. The contact information configured for a team member's card is intentionally public. Account administrators control what information is included on each card.
- Digital wallet providers. When you generate Apple Wallet or Google Wallet passes, the contact information included in those passes is shared with Apple Inc. and Google LLC respectively, subject to their privacy policies.
- Business transfers. If VeeCee is acquired, merged with another company, or undergoes a similar corporate transaction, your information may be transferred as part of that transaction. We will notify affected users before their data is subject to a materially different privacy policy.
- Legal requirements. We may disclose information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of VeeCee, our users, or the public.
4. Data Retention
We retain your account and contact card data for as long as your account is active. If you cancel your subscription, your data remains accessible for a 30-day grace period, after which it is scheduled for deletion. Some data, such as billing records and invoices, may be retained for longer periods as required by applicable accounting and tax laws.
CRM integration tokens and API credentials are deleted immediately upon disconnection of the integration. Contact data synchronized from your CRM is retained only as long as the integration is active or your account exists, whichever is shorter.
Anonymized or aggregated usage data that cannot reasonably be used to identify you may be retained indefinitely for analytical purposes.
5. Security
We take the security of your data seriously. VeeCee is hosted on Google Cloud Platform, which provides physical and network security controls including encryption in transit (TLS) and encryption at rest for all stored data. We implement access controls to limit who within our organization can access customer data, and we review those controls regularly.
API keys and OAuth tokens used for CRM integrations are encrypted before storage and are never exposed in plaintext through our interfaces. Authentication is handled via magic links and cryptographically signed session cookies (HMAC-SHA256), ensuring that passwords are never stored.
Despite these measures, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security. If you become aware of any unauthorized access to your account, please contact us immediately at privacy@veecee.me.
6. Your Rights
Depending on your location, you may have certain rights regarding your personal information under applicable privacy laws such as the GDPR or CCPA. These rights may include:
- Access. The right to request a copy of the personal data we hold about you.
- Rectification. The right to request correction of inaccurate or incomplete personal data.
- Erasure. The right to request deletion of your personal data, subject to our legal obligations to retain certain records.
- Portability. The right to receive your data in a structured, machine-readable format and to transfer it to another controller.
- Restriction. The right to request that we restrict the processing of your personal data in certain circumstances.
- Objection. The right to object to processing of your personal data where we rely on legitimate interests as our legal basis.
- Opt-out of marketing. The right to unsubscribe from marketing communications at any time using the unsubscribe link in any email we send, or by contacting us directly.
To exercise any of these rights, please contact us at privacy@veecee.me. We will respond to verified requests within 30 days. We may need to verify your identity before processing your request. We will not discriminate against you for exercising your privacy rights.
7. Cookies
VeeCee uses cookies to operate our platform. We use the following categories of cookies:
- Strictly necessary cookies. These are required for the platform to function. They include session cookies that keep you logged in while you use the dashboard. These session cookies are cryptographically signed using HMAC-SHA256 and expire after 7 days. You cannot opt out of these cookies without impacting the functionality of our service.
- Preference cookies. These cookies remember your settings and preferences so you do not need to reconfigure them on each visit.
We do not use tracking cookies or third-party advertising cookies. VeeCee does not sell data to advertisers. You can control cookies through your browser settings. Note that disabling session cookies will prevent you from using the VeeCee dashboard. Our platform does not respond to browser "Do Not Track" signals at this time.
8. Children's Privacy
VeeCee is a business tool and is not directed at individuals under the age of 16. We do not knowingly collect personal information from children. If you believe that a child has provided us with personal information, please contact us at privacy@veecee.me and we will take steps to delete such information.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the "Last updated" date at the top of this page and, where required by law or where we deem it appropriate, notify you by email or through a notice within the VeeCee dashboard.
We encourage you to review this policy periodically to stay informed about how we protect your information. Your continued use of VeeCee after any changes to this policy constitutes your acceptance of those changes.
